The System Accounts Payable Manager shares responsibility for daily operations of Health System's centralized AP department within the ERP operating environment. Day to day operations include, but are not limited to: implementation of standardized processes and system-wide policies, timeliness of payments, maintenance of document storage and maintenance of standards for entry of vendors in the vendor master file; monthly close of Accounts Payable within the ERP system; working with Material Management and Finance Departments; implementation of practices which ensure compliance with Internal Audit guidelines, Local/State and IRS regulations; active supervision/management and development of non-exempt personnel.
Responsibilities:
- Develops and maintains standard process documentation for invoice processing and related functions while maintaining accurate documentation of invoices for processing and storage.
- Maintains and updates vendor master files.
- Follows uniform process for vendor entry into the vendor master file to include consistent entry of new vendors, addresses, W-9 compliance, 1099 processing and contract compliance.
- Coordinates appropriate policies, procedures, and workflow for centralized Accounts Payable Department within the ERP system.
- Acts as a liaison with Material Management for contract development and payment processing within contracted terms.
- Investigates invoice and purchase order discrepancies.
- Ensures accurate invoice processing and payment within Treasury guidelines while maintaining contracted terms and prompt payment discounts.
- Hire, trains, mentors, supervises and continuous improvement of MHC imaging system and Lawson / Infor Cloud Suite and ERP skills for direct reports and subordinates.
- Implements and maintains practices to ensure compliance Internal Audit, State/Local and IRS guidelines, ensuring compliance within Corporate and Federal guidelines.
- Coordinates payment review and processing, knowledge of EDI.
- Coordinates and reports on AP testing that is required as part of new implementations, upgrades, or as otherwise directed.
- Coordinates and manages AP staff.
- Monitors and reports on AP team processing statistics, and coach employees accordingly.
- Reviews and ensures all account payable documents are completed according to established procedures.
- Oversees and/or ensures timely flow of invoices through imaging system and accounting system.
- Distributes work assignments and responsibilities to the AP team such as DII, MII, MHC, invoice paths etc.
- Runs reports and distributes stats to the executive team on workflows in MHC & Infor.
- Manages Concur expense reimbursement system.
- Setup and maintain users, review approvals and P-card transactions.
- Performs other duties as assigned.
Qualifications/Requirements:
Experience: Minimum of three years' experience in healthcare integrated accounting systems. Experience working within a demanding corporate environment with access to highly confidential and proprietary information. Proficient with Microsoft Office Suite, HRIS payroll and other systems. Proven track record of relationship building with both internal and external customers. Strong communication, organizational, planning, problem solving, technology, analytical, judgment and research skills.
Education: bachelor's degree in business administration required; equivalent combination of Experience and Education may be substituted for degree requirement.
